Coaching practice management software, for a solo practice.

Grove is a platform and an AI assistant for coaches, built for solo and small-practice coaches who lose evenings to admin: chasing payments, writing follow-ups, prepping for sessions, and tracking who still has sessions left in a package. Grove books the session, takes the payment, runs intake, keeps your notes, and turns the week into session prep before you sit down. For most solo practices, it replaces a scheduling link, a payment link, an intake doc, and the packages spreadsheet.

What it should do

What coaching practice management software should actually do for you.

Nine jobs, the same ones whether you call it practice management or client management. Every one is already in Grove today.

Book the session

Session types and packages live on your own booking page. Your client picks a time, with a free intro call booking without a card.

Booking and payments →

Take payment

Booking and paying are the same step, handled end to end by Stripe. Grove adds no platform fee on top of Stripe’s standard card fees.

Booking and payments →

Track packages and sessions remaining

A client buys a block of sessions and Grove counts down the balance as they book. When a package runs low, your Payments tab flags it with a one-click renewal link.

How packages work →

Run intake

Start from a health, wellness, or career template, edit every question, and send a secure link. Answers land on the client profile before the first session.

Intake forms →

Keep notes

One running record per client: jot notes anytime, typed, photographed, or pulled from a transcript. Private to you, and it resurfaces in your next session prep.

Client notes →

Prep for the session

Sage, your AI assistant, turns transcripts, notes, and check-ins into talking points before you sit down: what happened, what changed, what matters right now.

Session prep →

Send follow-ups

Every client gets a messaging thread inside Grove for what cannot wait until next session, beside their check-ins and notes, answered on your own schedule.

Client messaging →

Collect consent and signatures

Add a consent checkbox or a signature field to any form, with consent language scoped to your kind of coaching built into each starter template and editable like any other question.

Intake forms →

Check in between sessions

A 30-second daily check-in your client actually does, with a morning dashboard that surfaces who needs attention before the week gets away from you.

Client check-ins →
What Grove does not do

Honest about the gaps.

Grove is not every practice-management tool stapled together. Here is what it leaves out, and where a coach who needs one of these would get it instead.

  • A website builder

Grove is not a site builder. You can put Grove booking on the website you already have; Paperbell can also build the site itself.

    See the Paperbell comparison →
  • Courses and digital products

Grove has weekly reflection prompts and a resources library, not a worksheet-and-course authoring system or a storefront for guides and templates. CoachAccountable has the course library; Paperbell has the storefront.

    See the CoachAccountable comparison →
  • Insurance billing

Grove does not bill insurance, generate superbills, or file CMS-1500 claims. That is clinical practice-management territory; Healthie covers it.

  • SMS reminders

Grove’s booking confirmations and session reminders go out by email, not text message. Acuity sends SMS reminders on its paid tiers.

Client management

Client management software for coaches, built around one record per client.

Sessions, notes, transcripts, intake answers, check-ins, messages, packages, and progress all stay together on one timeline per client. You never reconstruct a relationship from your inbox, your calendar, a notes app, and a text thread, and none of it has to live in your head. See client notes.

All-in-one

All-in-one coaching software: what it should replace.

For most solo coaches running on Calendly, a Stripe payment link, a Google Doc for intake, and a spreadsheet counting down sessions, Grove is the one tool that replaces all four.

Replaces Calendly

Your booking page lists session types and packages with your approach in your words at the top, and a client picks a time and pays in the same step.

Replaces Stripe payment links

Payment is already part of booking, through the Stripe account you connect, so there is no separate link to send or chase.

Replaces Google Docs intake

A starter template you edit becomes a secure link; answers land on the client profile before you ever open the document folder.

Replaces The packages spreadsheet

Grove counts down each client’s remaining sessions itself and flags a package when it runs low, with a renewal link ready to send.

Questions, answered

Practice management software, answered

Can Grove replace Calendly and Stripe?

For most solo practices, yes. Your client books a session type or package on your Grove booking page and pays in the same step through your connected Stripe account, with no platform fee on top of Stripe’s standard card fees. Grove connects to Google Calendar only, so if your scheduling depends on a two-way Outlook or iCloud sync, that piece does not carry over. See booking and payments.

Does Grove track how many sessions a client has left in a package?

Yes. A package tracks its own remaining count as your client books, your Payments tab shows every client’s balance, and a running-low badge comes with a one-click renewal link you can copy or email. It is a re-bill you trigger, not an auto-renewing subscription.

Do I still need a spreadsheet?

Not for client packages, session history, intake, notes, or consent and signatures; those live together on one timeline per client in Grove. What Grove does not replace: a website builder, courses or digital products, insurance billing, and SMS reminders, each covered in "What Grove does not do" above.

What does Grove not do?

A website builder, courses and digital products, insurance billing, and SMS reminders. Each has an honest comparison page naming where to get it if your practice needs it; see "What Grove does not do" above.

Is there an AI, and does it coach my clients?

Yes, Sage, your AI assistant, works for you, the coach: it reads transcripts, notes, and the check-ins your client chooses to share, and drafts the talking points that prep your next session. Your client says yes before Sage reads a word, anything Sage writes is labeled as Sage, and nothing reaches a client unseen. Sage does not coach your clients directly. How we handle trust.
