Your voice in their week, without your phone number

Some things land better said out loud. Press Voice memo in a client's thread, talk, listen back, and send. Your client hears you in the same thread as every other message, can read the transcript when they cannot listen, and can answer in their own voice. No personal number handed out, and Sage stays out of it: voice memos are between the two of you.

A typed check-in can read like a form, however warm you make it. So coaches reach for WhatsApp or Voxer and send a quick voice note from their own phone. It works, and now a client has your personal number, the note lives outside the coaching relationship, and your evenings are a little less yours. Grove puts the voice memo inside the thread you already use, with the same boundaries as the rest of your practice.

A coach's message thread with a client: a voice memo from the coach with its transcript open beneath the player, and a voice memo reply from the client marked as new.

A voice memo sits in the thread like any other message. Your client can listen, or read it instead.

The same conversation on the client's phone: the coach's voice memo, marked new, with its transcript open and a microphone button beside the message box for a voice reply.

On your client’s side, the memo waits in their thread. They can play it, read it, or tap the mic and answer in their own voice.

A card asking "Allow voice memos for your practice?" with a note that each memo is recorded, stored for 90 days, and transcribed, and buttons for Not now and Allow and record.

Off until you say so. The first time you record, Grove asks, and tells you exactly what happens to the audio.

How voice memos work

  • One button in the message composer. Record, listen back, re-record if you want to, and send when it sounds like you.
  • An optional line of text with each memo, so your client knows what it is about before they press play.
  • A message, not a file. The memo sits in the thread with everything else you have said to each other, with no attachment to open and nothing to download.
  • Every memo is transcribed after it sends, and you both see the same text. A client on a bus or in an open-plan office can read it instead.
  • Your clients can answer in their own voice from the Grove web app, and new memos you have not played yet are marked so they do not get lost.
  • Play at 1×, 1.5×, or 2×, and scrub along the waveform to find the part you want to hear again.
  • Sage never hears them. What you say in a voice memo, and its transcript, stays out of session prep, talking points, and every other Sage surface.
  • Off until you allow it, and you can turn it off any time in Settings. Audio is deleted 90 days after it is sent, and the transcript stays in the thread.
  • Up to ten minutes per memo, which is plenty of room for a thought and not enough for a lecture.
Who uses this most

Voice memos fit coaches whose clients respond to tone as much as words, and anyone who has caught themselves typing a paragraph that would have been one warm sentence out loud.

Questions, answered

Common questions

Does Sage listen to my voice memos?

No. Voice memos stay between you and your client. Sage, your AI assistant, never hears them or reads their transcripts: what you say does not appear in session prep, talking points, or anywhere else Sage works. Sage only knows a voice memo was sent and how long it was, and if you add the optional line of text, Sage can see that line like any other message. To make the transcript, the audio goes through a speech-to-text service that is named in our Privacy Policy, and the text it returns goes back into your thread and nowhere else.

Can my clients send me voice memos?

Yes. Clients can record a reply from the Grove web app, in the same thread. Each client gives their own consent the first time they record. Voice memos in the iPhone app arrive with its next App Store update.

How long is a voice memo kept?

The audio is deleted 90 days after it is sent. The transcript stays in the thread, so the conversation still reads the way it happened. Before you record your first memo, Grove tells you exactly this and asks whether you want voice memos on for your practice.

Does Grove remind me to send them?

No, and that is on purpose. There are no reminders, streaks, or counters. If a weekly "thinking of you" memo is part of how you coach, that rhythm belongs to you. Grove just makes sure the button is there when you want it.

Why not just use WhatsApp or Voxer?

You can, and plenty of coaches do. The cost is your personal number in every client's phone, and a voice note that lives outside the rest of the coaching relationship. In Grove, the memo sits in the same thread as your messages and check-ins, your client reaches you without your number, and you answer on your own schedule.
